1.  TERM

SmartFills is FireQA's proprietary auto-population feature that reads existing data within a work package or inspection and uses it to pre-fill fields in the installation or inspection form, reducing manual data entry and improving consistency across records.

2.  PURPOSE

On a passive fire installation site, the majority of penetrations in any given work package share common attributes — the same building level, the same barrier type, the same firestopping product, or the same service type. Without SmartFills, an installer must re-enter these repeated values for every record.

SmartFills eliminates this overhead by recognising the existing data context — the work package, the inspection in progress, or previously completed records — and automatically proposing field values for the new record. The installer confirms or overrides, rather than typing from scratch. This reduces data entry time, minimises transcription errors, and produces more consistent register data across a job.

3.  SCOPE

SmartFills operates within the FireQA mobile and web application across the Firestopping Installs, Firestopping Audits, AS 1851 Inspections, and Certification modules — any workflow where inspection or installation forms are completed sequentially within a work package.

The feature is particularly effective on large jobs with high penetration counts and high field repetition, where manual re-entry of common values would otherwise represent a significant time cost.

4.  COMPONENTS

  • Work package context reader — SmartFills reads the current work package metadata (building, floor, zone, barrier type) to establish the fill context

  • Prior record analysis — SmartFills references recently completed records within the same work package to identify repeated field values

  • Field pre-population — matching fields in the new record are pre-filled automatically when the installer opens a new form

  • Override capability — all pre-filled values are editable; the installer confirms, modifies, or clears each field before saving

  • Consistency enforcement — by surfacing the expected value, SmartFills reduces variation in how common fields are recorded across a team
