1. TERM
A digital fire register is an electronic, cloud-stored record of fire protection installations or inspections — replacing paper-based or spreadsheet registers with a structured database that links each record to photographs, floor plan locations, and compliance status.
2. PURPOSE
Paper-based and spreadsheet fire registers fail at scale: photographs are stored separately, location references are ambiguous, version control is absent, and sharing with auditors requires manual compilation. A digital fire register solves all of these failures by storing every installation record, photograph, floor plan pin, and compliance status in a single, retrievable system.
For building owners and certifiers, the digital fire register provides an always-current, auditable source of truth for passive fire compliance — accessible to authorised parties without manual document management.
3. SCOPE
Digital fire registers replace paper and spreadsheet approaches wherever a passive fire register, firestopping register, or AS 1851 inspection record is required. They are applicable in all building types and scales — from single-building projects to multi-site portfolios.
4. COMPONENTS
Cloud-stored installation and inspection records per penetration or building element
Linked photographs — minimum one per installation, stored against the record (not separately)
Floor plan pins — location reference tied to each record
Unique identifiers per installation (linked to Smart Pin QR labels in FireQA)
Role-based access — installers, auditors, monitors, and building owners see appropriate data
Version history — changes to records are logged with date and user
Export capability — register exportable to Excel or PDF at any time
Client and monitor portal — external parties can view work in progress without accessing the full system
5. OUTPUTS
Register exportable to Excel with full photo and report links per installation
PDF report with embedded photographs and marked-up floor plans
Audit-ready dataset accessible to firestopping auditors and passive fire certifiers
Annual inspection baseline for AS 1851 maintenance workflows
